Minutes of the Quarterly Meeting – March 10, 2011 - Held at the home of Nickey Jones - 3:30 P.M.
Meeting brought to order by Steve Silver- President at 3:35
Members Present: Steve Silver- President, Nickey Jones – Treasurer, Cathy Wright – Secy., Gary Reed – Member-at-Large, Dave Mathis-Water Manager, Stan Kriegel, Vice-President (on vacation-phone contact)
Announcements: Steve read a letter from the son of a former Bridgehaven resident and early community member – John Huber – who expressed interest in sharing old photos of the area.
Minutes: Minutes from the Nov. 3, 1010 BCCA Quarterly Meeting were read and approved.
Treasurer’s Report: Nickey Jones reported current balances on the Bridgehaven accounts with Columbia Bank in Port Ludlow, WA. This included separate balances for Water and BCCA accounts. Copies of checks written were circulated for board members to read. Discussion continued on Water-shut-off procedures for delinquent accounts. She informed us of any other known changes in house sales, foreclosures, and new member’s names.
Water Manager Report: Dave Mathis reported that Lydell Co. has not caught up with the post-repair work on Robin Lane after the water line break on December 25, 2010. This break occurred on the backside of Blue Jay Lane. A permit extension will be necessary for digging up the road for final repairs. A bill was received from Lydell for the quick repair and included a bid for completion work. Copies were distributed at a previous executive board meeting in January, but they are behind in their winter repair work. Dave will keep us posted on this. Also, updated water lines are scheduled to occur as proposed in the water budget approved at the Annual Meeting on Sept. 10, 2011.
Marina Report: Gary Reed, Marina Manager, reported that the two damaged dock fingers were repaired by AMO Construction for $1387.52.
North Beach Dr. hill repair: The board reviewed options to get someone to come and assess the problems, get a bid on a patching repair job, keeping the cracks sealed to maintain use of the road until a larger road repair project was needed. Road repair and maintenance reserves need to build up again for the larger project, as that project would need the work of an engineering firm. Steve Silver is looking into having someone do the patching job and costs.
Bridgehaven mowing and maintenance-outside contract: It was agreed that any work by George Watanabe be limited to three dates between May and Sept., in order to keep these expenses down. A letter will be written explaining this to George, so he knows what he will need to agree to in doing work for Bridgehaven.
New Business: Bridgehaven Storage: Gary Reed offered an extra lockable file cabinet for Bridgehaven’s use, to be moved to the storage room.
Bridgehaven Clean-up Day: board members did not decide on a day or whether it was needed this year, but three volunteers signed up last fall to work on this, so the board will wait until some contacts are made. There was a conflict on dates last year, but we can still have one this year if someone wants to volunteer to set this up. (Post-meeting decision set up clean-up day on Friday, May 13, 2011 at 10 A.M.)
Bridgehaven Garage/Yard Sales: There will not be a community sponsored Garage and Yard Sale weekend this year. Board members agreed that every other year seems to work best, though individuals are certainly free to have their own sales.
Annual Picnic: Will be Saturday, August 13, 2011. Board members will be seeking volunteers to help work on this and a picnic committee can meet to work on this in June or July. (info. In upcoming newsletter)
Annual Meeting: Gary Reed is looking into using the Port Ludlow Fire Hall for the Annual Meeting on Sept. 10, 2011. He will get back to board members on this information. Other options were discussed, but the Fire Hall in Port Ludlow seems to be the best bet, since the South Point Fire Hall doesn’t have chairs for meeting. (info. In upcoming newsletter)
Directory Update and Newsletter: Cathy Wright will create a short BCCA newsletter to mail out with Water Commissioner’s Report in April, with a request for all BCCA members to update their directory name, address, phone numbers and email addresses. There have been quite a few changes in the community. The newsletter will also highlight upcoming events and a call for new board members to fill open positions in the fall. Two positions will be open.
